How and When to Request a Financial Hold

 

The Circulation Department places financial holds on students’ records when all other attempts to recover overdue items have been exhausted. A financial hold on a student’s record will prevent them from receiving their official grades and transcripts and keep them from registering. Eric will put a note in the patron record if a financial hold has been placed. For example, you will see “FH placed __(Date)______. EJH” along with the barcode number of the overdue item and the amount owed.

 

Students must come to the library to clear any financial holds that we have placed on their records.

 

General Circulation Items

 

General Circulation financial holds are placed after 180 days.

 

Reserve Items

 

Financial holds are placed on patron’s records when the reserve item(s) that they have is(are) five or more days overdue.

 

Procedure for Placing a Financial Hold on a Patron’s Record

 

Reserve Items

 

The task of running reports on overdue reserve items and calling patrons is assigned to one of the Library Technicians. She will run the daily reports and note when a patron has an item that is five days overdue. At that point, she will write out an index card with the student’s name, address, phone number, and student ID number. Also included will be the information about the overdue book such as: barcode number, due date, title, call number, instructor’s name if it is an instructors reserve item, and the cost of the item plus the $10 processing fee. The card will look something like this:

 

 

 

The index card is given to Eric, and he will place the financial hold on the student’s record.
